As a community driven project, data is made available to recognised organisations, community groups and certain individuals. These bodies, and the scope of their data access, is listed on the participating organisations page.
What personal data we collect and why we collect it
Profile data
If you register on this website, your profile information is stored as provided. You can see and edit your profile information at any time from a unique web address which is emailed to you when you register.
Data you enter is used by participating organisations to help them assess and mitigate the impact of Covid-19.

Email address
You are required to enter a valid email address when registering. We will not share your email address with third parties, other than participating organisations as described below, nor will we use it for marketing purposes. However, we may use your email address to contact you in relation to this site – for example to notify you about changes to functionality or to remind you to update your status.
Contact forms
If you contact us through a contact form on this site, the information you enter will be emailed to site administrators and saved on the server. It will be deleted from the server after one year, but may remain in email accounts after that.
Form submissions may also be checked through an automated spam detection service.
Cookies
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you enter your password to view your user profile, we use cookies to allow access to your profile. These cookies expire after one hour and are removed if you logout.
If you have a WordPress user account on the website then when you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
Analytics
We use Google Analytics to track usage of the site and to help us improve this service. Data collected by Google is processed according to its Privacy Policy.
Who we share your data with
Your data is shared with authorised users from participating organisations and site technical administrators. Details of which participating organisations have access to your profile data is listed in the Privacy & data sharing section at the bottom of your user profile.
Your data will not be shared with anyone other than administrators and participating organisations. Please note, however, that organisations may join after you first register on the site.
By default, participating organisations can only see anonymised data for the geographic area they cover. However, you can also select to share your full profile data with specific organisations. They will have access to all data you enter, irrespective of the geographic area they cover.
Data will be used by participating organisations for the purposes of helping to understand the impact of Covid-19, to help mitigate issues caused by the Covid-19 pandemic, and for the benefit of public health and research.
Some non-personally identifiable information from your profile is also made public – this is clearly indicated on the profile form.
If you are not comfortable with any information being shared in this manner please do not enter it on the site.
How long we retain your data
Your data will be retained as long as participating organisations have a valid reason for accessing the data in accordance with the reasons listed above. If the data will have value for research purposes by the NHS or recognised university research projects, it may be kept for longer. However, if data is only needed for research purposes it will be anonymised by removing your name and email address.
What rights you have over your data
If you have a profile on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.
You can remove data from your profile at any time by editing your profile, and you may also request that all your data is deleted. After confirming your request, we will delete all data we hold about you, unless we are legally obliged to keep it.
How we store your information
Your information is securely stored in a database on a server hosted by Linode, under their terms and conditions. An encrypted backup copies of this database is also stored with Wasabi. Technical administrators of this site also have direct access to the database and its contents, which may be used and securely stored on development environments from time to time.

If you have any concerns about our use of your personal information, you can make a complaint to us by contacting us, or by contacting any participating organisation.
